The Community Association Manager  is the go-to source for day-to-day issues related to the community associations in their portfolio. This professional must be aware of and able to speak confidently on issues, projects, accounting, maintenance, and homeowner relations. Strong communication and follow-through skills are a must.


Principal Responsibilities:

  • Oversee each association and serve as the main point of contact between Atwood Management and the appointed Board of Directors
  • Attend and facilitate association meetings
  • Provide executive direction and consultation to the association
  • Assist in the rules, policies and procedures of the board and execute the implementation to the association
  • Work with the accounting department for the association's financials
  • Become an expert in the association's governing documents and provide clear direction to the board and owners
  • Ensure the directions of the board are executed promptly and with excellence
  • Work with the field services department to collect bids and execute association contracts at the direction of the board
  • Ensure timely and complete maintenance of the association
  • Oversee architectural reviews for approvals and ensure compliance


Tasks and Duties

  • Ensure that CIC documents are completed in a timely manner
  • Ensure Special Assessments are communicated to accounts receivable and collected on a timely basis
  • Communicate regularly with each association's Board of Directors and Field Services to carry out special projects, repairs or bids needed, providing information, recommendations, etc.
  • Monitor the association's financial standings as compared to the budget and work with the accounting department
  • Review the association's financial reports in preparation for annual meeting, or Board meetings, and make recommendations for budgeting and capital improvements
  • Process and prepare the association's annual meeting packet, drafting new correspondence which includes: meeting notice, agenda, meeting minutes, proposed budget, financial reports, and current governing rules and regulations
  • Review with Field Services Manager the vendor performances to ensure the contracts are being adhered to
  • Assist the Field Services Manager with obtaining vendor/contractor quotes and track projects through completion in a timely manor


Reporting

  • Coordinate with the accounting department to prepare monthly, quarterly and annual reports
  • Manage the production of annual budgets and forecasts
  • Calculate variances from the budget and report significant issues to management


Requirements

  • The Community Association Manager should possess the executive ability to handle issues across a portfolio of properties while providing a service that feels focused and individual to the client
  • Regular travel to associations will be required, so a valid state driver’s license and reliable transportation is required
  • Experience in property management with designations like: CMCA (Certified Manager of Community Associations), AMS (Association Management Specialist), PCAM (Professional Community Association Manager), a valid real estate agent  or broker's license or a college degree with an emphasis on business or accounting is preferred.
